Why did you choose Kleos?
We are a small office and have no administrative staff. Therefore, it is important for us to work efficiently and save time. Kleos takes over much of our administration, which in turn gives us more time for legal work. The Kleos add-in for Outlook and the Kleos models are, therefore, indispensable for us in managing our e-mails.
The Kleos add-in for Outlook reduces the clicking between programs
We process our correspondence with the Kleos add-in for Outlook. Like many law firms, we receive a lot of e-mails every day. The add-in allows us to save them to the right file in Kleos in one click. We do not even have to open Kleos to do so. Files or attached documents are also saved in the right file with a single click. For outgoing e-mails, we start straight away from Outlook without having to open the file in Kleos: select 'new mail', choose the right file in the add-in, select the recipient of the file in the add-in and add attachments that are also available in the add-in. The Kleos add-in for Outlook saves an incredible amount of time and reduces the number of clicks between programs. You can even use it to convert a document to PDF.
Smart e-mail models allow us to increase automation even further
An e-mail model is a standard communication tool that includes flexible fields. For example, the 'Date of hearing' model will include as a flexible field: the file reference, the address, the recipient, the date and venue of the hearing, the name and contact details of the file manager, etc. When selecting this model in file x, you send the e-mail with all the fields of file x filled in. Kleos provides a number of useful models such as a model to transfer a summons to the bailiff or a model to transfer documents and bundles of documents to the court and so on. Kleos colleagues can create personal models or you can also even modify the existing models yourself. I often use the model for communicating documents, confirming the first appointment, as billing software, sending a commission/invoice or the model for a summons.
In short, thanks to Kleos, we save a lot of time in dealing with our correspondence every day.
